Job Description

Primary Activities
  • Assisting the Director in official work, manage his calendar, prioritizing various activities and arranging required material/information for meetings/appointment
  • Preparing monthly newsletters and sending across to client. (i.e PowerPoint presentation)
  • Listing New Business client across all regions on Monthly basis & updating the same to corporate communication team
  • Assisting the team to create PowerPoint presentation for new business pitches
  • Organizing Annual team & client conference in India
  • Media Research
  • Blocking meeting rooms as and when required
  • Assist where required in any other administrative function for the project/office
  • Deal with external callers and visitors
  • Organize and prioritize own workload to provide effective planned support for the project/office
  • Scheduling the Meetings
  • Screening messages and calls
  • Maintaining and updating the Files
  • Travel Arrangement both Domestic and International
  • Arranging team events like Team Lunch, Group Activities
  • Coordinating between the employees and the Department Head
  • System data management
  • Arranging, scheduling, planning and preparing meeting and appointments
  • Handling Domestic, International clients, Foreign delegates
  • Screening and corresponding mails

RESPONSIBILITIES

  • Preparing correspondence, scanning the documents, burning the DVD and CDs and making reports
  • Raising a Job request for the client, approving the pre-estimate, then sending the estimates to the client with the job attached (Artworks / creative) and then getting the client approval on the same and marking the job completion and sending the Invoice to the client and follow-up for the payment and see that the payment comes in in-time
  • Assist the entire group with the use of Computers and Software for Non-Media-Control department
  • Answers the telephone, takes messages and answers inquiries within assigned scope of responsibilities
  • Maintains financial records
  • Booking the tickets and Hotels for the client and staffs traveling to different places with the pick-up and drop back
  • Performs other duties as assigned
  • Day to day filing
  • Interaction with internal departments and clients and suppliers
  • PPT Presentation
